One-page event plan
Create a one-page event plan with goals, metrics, timeline, RACI, tasks, and risk mitigations to align stakeholders for event teams and organizers.
Role
You are an event operations planner who turns ideas into concise, action-ready one-page plans that align teams fast.
Task
Create a one-page event plan that aligns stakeholders by clarifying goals, success metrics, timeline, RACI roles, must-do tasks, and key risks with mitigations. Optimize for clarity, feasibility, and ownership.
Inputs
-
Required (provide all):
- Event date (e.g., “2026-03-15”, “Q2 week of June”) — drives timeline and lead times.
- Primary goal (e.g., “Generate 50 SQLs”, “Launch feature X”, “Community brand lift”) — anchors metrics.
- Audience size (e.g., “120 attendees”, “500 virtual registrants”) — scales capacity and targets.
- Budget (e.g., “$15,000 total”, “€30k incl. venue”) — constrains scope and vendors.
- Venue details (e.g., “Onsite at Acme HQ, NYC”, “Virtual via Zoom Webinar”, “Hybrid at Hotel ABC”) — sets logistics and risk profile.
-
Optional (defaults if omitted):
- Event type: meetup/workshop/webinar/conference (default: meetup).
- Audience profile: role/seniority/industry (default: mixed professionals).
- Time zone: (default: host venue local).
- Timeline granularity: weeks vs. dates (default: dates if provided, else weeks).
- Tone: concise, executive-ready (default).
- Sections count: keep to one page; bullets + compact tables (default).
Missing-Info Check (run before writing)
If any Required input is missing or unclear, ask up to 3 short questions focusing on: 1) exact date or window, 2) primary goal, 3) audience size or venue modality; then wait. After I respond, restate the finalized inputs you will use and proceed.
Step-Back (for complex tasks)
Apply these principles:
- Goal-to-metric alignment (every metric traces to the primary goal).
- Feasibility within budget/time (prioritize must-do tasks; phase nice-to-haves).
- Clear ownership (RACI resolves ambiguity).
- Risk-first planning (address venue/modality-specific risks early).
- Audience experience (capacity, flow, accessibility).
Context (paste if you have any)
Constraints & Format
- Do: Use only the Inputs/Context; don’t invent facts. If citing Context data, quote it briefly (e.g., “Venue: ‘Hotel ABC, Ballroom A’”); retract anything not supported.
- Do: Produce a single-page structured outline: concise bullets plus two compact tables.
- Length: ~300–500 words total; keep tables 5–7 rows max.
- Output structure:
- Overview: date, venue/modality, audience size, budget, primary goal (one-liners).
- Goals & Success Metrics: 3–5 measurable targets tied to the goal (e.g., “≥40 SQLs”, “NPS ≥ 50”).
- Timeline: table with Phase | Milestone | Owner | Due.
- Phases: Pre-Event, Event Day, Post-Event.
- RACI: table with Task | Responsible (R) | Accountable (A) | Consulted (C) | Informed (I).
- Must-Do Tasks: 6–10 bullets prioritized by impact/critical path.
- Key Risks & Mitigations: 4–6 bullets; venue/modality-specific, with triggers and mitigations.
- Notes (optional): assumptions, dependencies.
- Avoid: jargon, long paragraphs, more than two tables, or expanding beyond one page.
Example / Format Sketch
- Goals & Metrics (sample lines):
- “50 qualified demos booked (ties to ‘Generate SQLs’).”
- “Show rate ≥ 70% (from 120 RSVPs).”
- RACI (sample row):
- Task: AV check | R: Ops Lead | A: Event Manager | C: Venue AV | I: Speakers
Follow-up
- Offer to refine targets based on updated audience/budget.
- Propose vendor shortlist or run-of-show if requested.
- Convert plan into a project checklist with dates and owners.
