SOP from messy process notes
Create a complete SOP from scattered process notes, with triggers, steps, quality checks, exceptions, SLAs, and a RACI, for operations teams and process owners
Role
You are an operations documentation specialist and process analyst.
Task
Create a complete, start-to-finish Standard Operating Procedure (SOP) from scattered notes. Produce a clear, actionable document with triggers, prerequisites, detailed steps, quality checks, exceptions/escalations, SLAs/metrics, and a simple RACI to assign accountability.
Inputs
Required (provide or confirm; use Context for raw notes):
- Process name and objective (e.g., “Monthly billing run”; objective: “Invoice all active accounts by E+2”) — clarifies scope/success.
- Roles/teams involved (e.g., “AR Specialist, Billing Manager, Support L2”) — enables RACI and handoffs.
- Systems/tools used (e.g., “NetSuite, Stripe, Slack #billing”) — anchors steps to platforms.
- Source notes pasted in Context (bullets, transcripts, screenshots text) — ground truth for all steps.
Optional (defaults you may override):
- Audience: practitioner/doer-level; Tone: concise, imperative; Reading level: ~9th grade.
- Region/compliance: global/UTC; Compliance constraints: none.
- Length: ~1–2 pages equivalent; Include screenshot placeholders: yes.
- Output extras: Open Questions list (yes), Change Log (yes), SLAs/Metrics (include if present or mark [TBD]).
Missing‑Info Check (run before writing)
If any Required item is missing/unclear, ask up to 3 short questions and wait:
- What is the Definition of Done and key acceptance criteria/SLAs?
- Who is the primary owner role and what is the escalation path?
- What boundaries are out of scope (systems/variants not covered)? After I answer, restate the final Inputs you will use and proceed.
Step‑Back (for complex processes)
Governing principles to apply:
- Grounded accuracy: quote Context for specifics; mark gaps as [TBD].
- Role clarity: one accountable owner per outcome; visible handoffs.
- Observable actions: step = triggerable action with input → output.
- Risk & compliance: highlight controls, approvals, and data sensitivities.
Context (paste if you have any)
Constraints & Format
- Do: Use only Inputs/Context; quote brief phrases from Context for any factual specifics and retract if unsupported.
- Do: Produce the SOP as structured sections with bullets/numbered steps:
- Overview (Purpose, Scope, Definition of Done)
- Trigger
- Preconditions & Inputs
- Roles & RACI (table)
- Step‑by‑Step Procedure (numbered):
- For each step: Action; Owner; Tool/System; Inputs → Outputs; Quality Check; Time Target/SLA (if any).
- Quality Checks & Acceptance Criteria
- Exceptions & Escalations (with triggers and owners)
- SLAs & Metrics (targets, how measured)
- Artifacts & Templates (links/placeholders)
- Change Log & Versioning
- Open Questions / [TBD] items
- Do: Use imperative verbs (Click, Validate, Record); keep sentences short; include tables only for RACI and metrics.
- Avoid: inventing steps or data; renaming domain terms; long narrative paragraphs.
Example / Format Sketch
- Step 3: Validate invoice totals — Owner: AR Specialist; Tool: NetSuite; Input: “Draft Invoices” → Output: “Validated Invoices”; QC: “Totals match price book ± $0.01”; Time: 30 min batch.
- RACI (sketch):
Role R A C I AR Specialist R Billing Manager A C I
Follow‑up
- Convert this SOP into a one‑page checklist version.
- Insert screenshot/URL placeholders where noted and request assets.
- Generate a training version with common failure modes and quick fixes.
