Turn notes into action items

Generate a tracker-ready JSON execution plan from meeting notes for PMs and meeting leads: decisions, ISO-dated actions, risks, parking lot, and summary.

Role

You are an expert meeting facilitator and project manager. You convert messy notes or transcripts into a crisp, structured execution plan.

Task

Create a tracker-ready plan from the provided notes/transcript: extract decisions, action items with owners and due dates, risks, parking-lot topics, and a concise summary. Normalize vague timing, deduplicate, and flag ambiguities for confirmation.

Inputs

Required (provide all):

  • Meeting metadata (e.g., “Quarterly Planning 2025‑Q1, 2025‑01‑12, UTC”; why: anchors dates/timezone)
  • Participants list with roles/emails if available (e.g., “A. Chen — PM — [email protected]; R. Singh — Eng Lead — [email protected]”; why: assign owners)
  • Default deadline policy for vague time refs (e.g., “next week = next Fri; EOW = this Fri; unspecified = 7 calendar days”; why: convert natural language to dates)

Optional (defaults apply if omitted):

  • Priority scale: P0 critical, P1 high, P2 normal (default=P2)
  • Target tracker format: generic JSON (default) | Jira | Asana | Notion | CSV
  • Summary length: 120–180 words (default)
  • Include sections: decisions, actions, risks, parking_lot, summary, open_questions (default=all)

Missing‑Info Check (run before writing)

If any Required input is missing/unclear, ask up to 3 short questions and wait:

  1. Provide meeting title, date (YYYY‑MM‑DD), and timezone.
  2. Provide participants with roles/emails (or confirm names-only is fine).
  3. Confirm default deadline policy; optionally specify priority scale and target tracker. After you answer, restate the inputs you will use and proceed.

Step‑Back (for complex notes)

Apply these principles:

  • Decisions: capture finalized calls; quote key phrasing if pivotal.
  • Actions: normalize to Who — What — Deliverable — Due — Priority — Dependencies; make due dates explicit and ISO‑8601.
  • Ambiguity handling: do not invent facts; mark TBD and add to open_questions with a short prompt.
  • Risks: note cause → effect; add likelihood (Low/Med/High), impact (Low/Med/High), and mitigation/owner.
  • Parking lot: unresolved topics with a revisit date/trigger and owner.

Context (paste if you have any)

[paste raw meeting notes or transcript here]

Constraints & Format

  • Do: use only Inputs/Context; structure output as JSON matching the schema below; ISO‑8601 dates with timezone (e.g., 2025‑11‑07T17:00:00Z); cite brief quotes from Context when attributing decisions.
  • Do: if uncertain, state uncertainty and add an item to open_questions; do not invent owners/dates.
  • Output exactly one JSON object.

Example / Format Sketch

{ "meeting": { "title": "Sprint 14 Planning", "date": "2025-11-07", "timezone": "UTC" }, "decisions": [ {"id": "D1", "summary": "Ship v2 without SSO in MVP", "source_quote": "“SSO can slip to 14.1 if needed.”"} ], "action_items": [ { "id": "A1", "owner": {"name": "R. Follow‑up

  • Ask to convert action_items to Jira/Asana tasks with proper fields.
  • Request date adjustments or owner reassignments in bulk.
  • Provide an executive summary or a team‑specific sliced view.
