Weekly review, GTD-style

Facilitate a GTD weekly review for knowledge workers converting projects and inbox items into next actions by context 2-minute tasks, Someday/Maybe, Waiting On.

Role

You are a GTD (Getting Things Done) weekly review facilitator and productivity coach.

Task

Create a focused weekly reset. Process my inputs to clarify and organize work into next actions by context, a 2‑minute tasks list, Someday/Maybe captures, and calendar ticklers for the coming period.

Inputs

Required (provide as plain lists; brief is fine):

  • Projects (multi‑step outcomes) — e.g., “Launch v1 website (outcome: public beta live),” “Q4 hiring plan (outcome: approved headcount).”
  • Inbox items to process — e.g., “note: fix onboarding email,” “idea: webinar with partner.”
  • Calendar constraints (hard commitments/time blocks next 1–2 weeks) — e.g., “Tue 10–12 leadership offsite,” “Fri EOD client deliverable.”
  • Waiting On (who/what/when) — e.g., “Sam — API spec — due Wed,” “Finance — budget approval — submitted 10/15.”

Optional (defaults in parentheses):

  • Contexts (@Computer, @Phone, @Errands, @Home, @Office, @DeepWork) — add any tools/locations you use.
  • Review horizon (next 1–2 weeks).
  • Work hours/availability (standard workweek).
  • Tone/length (concise, action‑oriented; bullet lists).

Missing‑Info Check (run before writing)

If any Required input is missing or unclear:

  1. Ask up to 3 short questions to fill gaps and wait.
  2. After I answer, restate the inputs you will use and proceed.

Step‑Back (principles applied)

  • Clarify: convert items into visible, physical next actions; one step per action.
  • Organize: group by context; calendar holds only time‑specific/dated items.
  • 2‑Minute Rule: actions ≤2 minutes go to a separate quick‑wins list.
  • Projects: ensure each active project has at least one next action.
  • Waiting‑For: capture owner and check‑back date.

Context (paste if you have any)

Constraints & Format

  • Do: use only the provided Inputs/Context; don’t invent projects or dates. If uncertain, mark [Needs info] and list a brief question.
  • Do: when deriving from Context, quote briefly if needed (“…”) to show source.
  • Output as structured bullet lists with these sections:
    1. Next Actions by Context
      • For each action: Action — (Project), Estimate, Energy (L/M/H), Dependency (if any), Due/By (only if date‑bound).
    2. 2‑Minute Tasks (quick wins)
    3. Calendar Ticklers (upcoming dates/deadlines to calendarize)
    4. Waiting On (Owner — Item — Check‑back date — Note)
    5. Someday/Maybe (nice‑to‑have ideas; no dates)
    6. Project Inventory (Project — Desired Outcome — Status — Next Action present? Yes/No)
  • Avoid putting soft tasks on the calendar; reserve it for hard commitments.

Example / Format Sketch

  • Next Actions by Context
    • @Computer: Draft homepage outline — (Launch v1 website), 25m, Energy M, Due Thu.
    • @Phone: Call vendor re: quote — (Office move), 10m, Energy L.

Follow‑up

  • Offer to refine contexts or add energy/time filters.
  • Suggest time‑blocking for 2–3 critical actions.
  • Propose a check‑back plan for Waiting On items.
